Workforce training

Assign compliance trainings and policy acknowledgments to roles with due dates, let staff complete them by signed attestation, quiz or certificate, and keep the record as your HIPAA workforce training evidence.

HIPAA expects every member of your workforce to be trained on privacy and security and to acknowledge your policies. Open Setup > Workforce Training to assign those courses and see who has completed them.

Add a course#

Click New Course and fill in:

  • Title: for example HIPAA privacy and security training.
  • Kind: Training to complete, or Policy to acknowledge.
  • Completed by: how staff finish it:
    • Signed attestation: they read it and sign with their typed name.
    • Quiz: they answer your questions and must reach the passing score, then sign.
    • Uploaded certificate: they upload a completion certificate from an outside course, then sign.
  • Due within (days): how long staff have once it is assigned.
  • Assigned to roles: the roles whose members owe it. Leave it empty for everyone.
  • Policy text or instructions: what staff read before completing it. A policy needs its text.
  • Repeats: turn on to assign it again every so many months, such as yearly training.

For a quiz, add each question with its answers, one per line, and the number of the correct answer.

Saving a course assigns it at once to everyone it reaches. Members who join later, or gain a role, are assigned it the next day.

Training record#

The Training record lists every assignment with its due date, status and evidence: the signed name, the quiz score or the certificate. Filter Status to Overdue for the overdue report. The Courses list counts what is open, overdue and done for each course.

How staff complete a course#

Staff see their courses under Training and Policies on their profile and click Complete on a row. They are reminded a week before the due date and again once it passes.

A completed course keeps the statement each person signed, so rewording a course later never changes an old record. Deleting a course withdraws open assignments; completed ones stay in the record.
