Setup

Patient settings

Choose a prefix for new chart numbers, whether your clinic collects Social Security numbers and patient attestations, and when authorizations raise alerts.

Open Setup > Patients > Patient settings to see how new charts are numbered. The page shows the chart number the next new patient will get.

Anyone with access to Setup can see these settings. Only people whose role can manage the practice (owners and clinic admins by default) can change them.

Chart numbers#

New charts are numbered in order starting at 1001. Enter a Chart number prefix of up to six letters or digits, such as HL, to put it in front of new numbers (HL1001). Leave it empty for plain numbers. Changing the prefix affects only charts created afterwards; existing chart numbers never change.

Social Security numbers#

Collect Social Security numbers is off for every new clinic, because most therapy billing does not need them. When you turn it on:

  • Charts get an optional Social Security number field.
  • NeatPractice stores the number encrypted and shows only the last four digits.
  • People whose role includes viewing sensitive identifiers can click Show to see the full number. Each time they do is recorded in the patient access log.

Turning the setting off hides the field on new charts. Numbers already on file stay masked, and you can still remove them from a chart.

Authorization alerts#

Choose when an approved authorization shows an alert, notifies the care team and front desk, and joins the authorization queue:

  • Visits left: alert when this many visits or fewer are left to schedule (3 by default).
  • Units left (%): alert when this share of the approved units or fewer is left to schedule (20 by default).
  • Days before the end date: alert this many days before the authorization ends (14 by default).
  • Count every payer's authorized hours: off by default, so only primary-payer authorizations count toward a patient's authorized hours and revenue, since a secondary payer usually approves the same hours again. Turn it on to add every payer's approvals together.

Patient attestations#

Turn on Collect patient attestations to offer, on every visit, a signature from the patient or caregiver that the services were received. It is off by default. A payer whose billing rules require an attestation asks for one even when this is off. See Patient signatures in clinic.

Click Save Changes at the bottom of the page after changing any setting.
