Supervision requirements
Set the monthly supervision minimums for each supervised credential, choose when supervision counts, build scored evaluation forms, and keep the supervision activity lists.
Open Setup > Supervision. Each discipline brings starter requirements that you edit to match your state, board or payers:
- Speech: SLPA (20% supervised, half of it live with a patient), clinical fellow (contacts and observations) and speech student (25% live).
- Occupational therapy: COTA and OT student.
- ABA: RBT, assistant analyst, and case supervision for each learner (see ABA supervision).
Log counting#
Supervisees sign off each supervision recorded about them (see supervision logs). Turn on Count supervision only after the supervisee signs it off and click Save Changes at the bottom of the page to count a record toward a supervisee's month only once they have. Until then the record shows in the month's projection but not in its totals.
Requirement fields#
- Log follows: each supervisee holding one of the Followed credentials, or each patient (case supervision).
- Measured against: delivered service hours (the default) or scheduled service hours.
- Supervised (%), Contacts, Individual contacts, Observations with a patient and, when your rules ask for it, Direct supervision (%): live supervision with a patient present.
- In-person, real-time and observed minimums: turn this on when your board or payer also asks for a number of In-person contacts, a number of Real-time contacts (watched live rather than from a recording), or a share of supervised time spent Observed with a patient (%).
- Service codes: leave empty to count every delivered visit, or list the codes that count as service.
- After a month not met: Warn when booking (the default), Block booking or Do nothing. A block can be lifted at booking by staff with the supervision restriction permission.
- Hold note signatures after a month not met: the supervisee cannot sign visit notes until the month is made up or the restriction is lifted (see supervision logs).
- Effective from and, optionally, Effective to.
When a board changes its rules, choose New version on the requirement and set the date it starts. The earlier version closes the day before, and each month is judged by the version in effect on its first day.
Evaluation forms#
Supervisors score each supervisee on an evaluation form when they record supervision. Every clinic starts with an Assistant supervision evaluation for any discipline, and ABA clinics with a Technician supervision evaluation, both on a five-level legend from Not observed to Exceeds expectations.
To build your own, click Add Form: name it, pick a discipline or every discipline, choose the supervisee credentials it is for, set the Rating legend (each level with its own score) and add Goals and tasks, one task per line under each goal. A new form is a draft. Choose Publish when it is final; only published forms can be picked on a supervision record.
A published form's goals, tasks and legend are fixed, so recorded scores keep their meaning. To change them, choose Copy as draft, edit the copy and publish it, then turn off Active on the old form. A form can be deleted only while no record was scored on it.
Activities#
The Activities list holds what supervisors pick when they record supervision, on a Direct or Indirect list, for one discipline or every discipline. Deleting an activity keeps its name on the records that used it.
Competency checklists#
Supervisors score staff on these checklists while watching them work (see competency and performance plans). Click Add Checklist, name it, pick a discipline or every discipline, and add the Items, each in the Procedure, Professionalism or Environment section. Drag items to reorder them. Observations keep their own copy of the items, so editing a checklist never changes an observation already recorded. A checklist with observations cannot be deleted; turn off Active instead.
