Statements

Produce a patient statement or an account history for a responsible party, print it, send it as a secure email link or by mail, and see every statement and delivery in the account's history.

A statement tells the responsible party what they owe. NeatPractice keeps a copy of every statement it produces, so you can print or send the same one again later. To send statements to many accounts at once, use a statement run.

Produce a statement#

  1. Open the account from Accounts, or the patient's chart and choose Billing.
  2. Click New Statement.
  3. Choose the Statement:
    • Patient statement lists every service the patient still owes on, with the charge, what insurance paid, any adjustment, what the patient paid and what they owe.
    • Account history lists all activity in the dates you choose, with the balance before and after. Use it when a family asks for their history or questions a balance.
  4. Choose the Delivery:
    • Printed downloads the PDF now.
    • Secure email emails a link to the statement. Leave Email empty to use the email in the account's statement settings.
    • Mail adds the statement to the next mail file (see Statement runs).
  5. Leave Include every patient of the responsible party on to put siblings on one statement, with a section for each patient. Turn it off for this patient alone.
  6. Click Produce Statement. The statement is added to the account.

Every statement shows the responsible party and address, the statement date, the amount due and a due date 21 days later, the aging of what is owed, and how to pay. Services show the clinic's code or charge description, never a diagnosis.

A patient statement for an account in a later collection stage carries a notice, such as a second notice or a final notice.

Secure email#

The email names your practice and carries a link; it never names the patient, the services or the amount. The person who opens the link enters the date of birth of a patient on the statement, then downloads the PDF. The link works for 30 days. Five wrong dates of birth lock it; send the statement again to give them a new link.

Statement history#

The account's Statements section lists every statement that covered the patient, newest first: the date, the kind, how many patients it covered, the amount due on it, this patient's share and its Delivery. For a sent statement, the delivery shows where it stands: Sent, Opened once the link was used, Failed, Locked, Waiting for mail file or In a mail file.

Click the date, or Print in the row's actions, to print a statement again exactly as it was. Choose Send in the row's actions to email a new secure link or add it to the next mail file; each send is kept in the history.

A statement produced from a sibling's account shows in each covered patient's history.

Permissions#

Producing and sending statements needs permission to run statements. Anyone who can read patient accounts sees the history and reprints statements.
