Getting started

Practice files

Keep your clinic's policies, business associate agreements, licenses and continuing education records in one place, each open to everyone or to chosen roles.

Surveys and payer audits ask for the papers that run the practice: privacy policies, business associate agreements, clinic licenses and staff continuing education records. Practice files keeps them in one library. Patient files never go here; they belong on the chart (see Documents).

Open the library#

Open Tasks in the main menu, then Practice files in its panel. Every staff member can open the library; each person sees the files open to everyone and the ones shared with one of their roles. People who manage the practice see every file.

Click a file's name, or Open in its menu, to view or download it. A file with an end date shows Expiring soon from 30 days before, and Expired after.

Upload a file#

Click Upload File and fill in:

  • Name and Category: policy or procedure, business associate agreement, clinic license or certificate, continuing education record, contract, or other.
  • File: a PDF or an image, up to 10 MB.
  • Who can open it: leave it empty for every staff member, or choose the roles that may see it.
  • Expiry and notes (optional): an end date for a license or agreement, and a short note.

A file cannot be replaced once uploaded. To keep a new version, upload it as a new file and delete the old one.

Edit or delete#

Choose Edit in a file's menu to change its name, category, roles, end date or note, and Delete to remove it from the library. Every change is kept in the audit history.
