Scheduling limits

Cap the hours a patient or provider can be booked per day, week or month, and add named restriction rules that stop or warn about bookings on chosen dates, weekdays or holidays.

Scheduling limits cap how many hours can be booked in a day, week or month. Booking past a limit shows a booking check warning, so the person booking can adjust the schedule.

Open Setup > Scheduling limits. Anyone with access to Setup can see the limits; adding, editing or deleting one needs permission to manage schedule settings. Limits apply to every discipline.

Adding a limit#

  1. Click Add Limit.
  2. Choose whom it Applies to: every patient, one patient, every provider or one provider. For one patient, search for the patient; for one provider, pick the provider.
  3. Choose the Period: per day, per week or per month.
  4. Enter the Most hours allowed in the period, for example 40. Fractions such as 1.5 work too.
  5. To count only some hours, turn on Only for one code or credential and enter a Code, a Credential, or both. For example, a limit of 2 hours per day for one patient with code 97151 counts only that code.
  6. Click Add Limit.

How limits combine#

A limit for one patient or one provider overrides the limit for everyone. For example, with 30 hours per week for every patient and 40 hours per week for one patient, that patient can be booked up to 40 hours.

Editing and deleting#

Open the row's menu and click Edit to change a limit, or Delete to remove it. Appointments already booked are not changed; the new limit applies to the next booking check.

Restriction rules#

Restriction rules stop or warn about bookings at times the clinic does not book, for example no home sessions on holidays, no sessions for one learner on school days, or a staff training day. Every rule has a name, and the booking check names the rule that fired, so the person booking knows which rule to look up.

  1. Under Restriction rules, click Add Rule.
  2. Enter a Name that says what the rule is for.
  3. Choose When: Dates (enter the first and last date), Weekdays (pick the days, and optionally the dates the rule runs between) or Holidays (the location's and the practice's holidays).
  4. Turn on Only part of the day to enter a From and To time in the location's time zone; otherwise the whole day is covered.
  5. Choose the Result: Warn (anyone who may override booking warnings can book past it with a reason) or Block.
  6. Turn on Only for some bookings to limit the rule to some Locations, Settings (clinic, home, school, community or telehealth), Patients, Providers or Appointment types. A list left empty matches all.
  7. Click Add Rule.

Turn off Active to pause a rule without deleting it. Rules apply to every discipline and to new bookings, moves and reschedules; appointments already booked are not changed.
