Offboarding
Walk a departing provider through setting a last day, handing over their caseload, settling open notes, visits and final pay, and deactivating them, without losing any record.
When a provider leaves, offboarding takes you through each step in order, so no patient or note is left behind. Open Setup > Offboarding to see who is being offboarded and who already left.
Start offboarding#
Click Start Offboarding, choose the provider, their Last day and an optional reason. The provider's record then opens on its Offboarding tab. You can also start from that tab on any active provider.
The steps#
The Offboarding tab lists the steps in order:
- Last day: shows the date and reason. Cancel Offboarding keeps the provider active.
- Hand over the caseload: Hand Over Caseload moves every current care team membership to one provider from today, in the same role. To send each discipline to a different provider, use the Caseload tab once per discipline: it previews every patient and shows which ones could not move and why.
- Open work: how many appointments are booked ahead, past appointments without a visit, and visits not yet signed, plus the provider's unsigned notes.
- Final pay: with Payroll, how many pay items sit in periods not yet closed. Close the period that holds the last day for the final paycheck.
- Deactivate: Complete Offboarding deactivates the provider.
The offboarding list's Devices to return column counts the devices on your device and asset list still assigned to the provider. Collect each one and clear its Assigned to before the last day.
What deactivating does#
The provider can no longer be booked or write notes, and leaves pickers. Their past records, signatures and history stay. A provider who is someone's primary supervisor cannot be deactivated until those supervisees have another primary supervisor (see supervision). To stop them signing in, disable their user in Users.
