Recall list

Find patients in active care who have nothing booked, record each follow-up call, and book the next visit or snooze the episode until a date.

The recall list shows patients who are still in care but have no future appointment, so nobody falls out of care without someone noticing. Open Recall list in the Patients panel of the main menu.

What is on the list#

An episode of care appears when its status is Active and nothing is booked for it from today on. Each discipline counts on its own: a patient with an occupational therapy episode stays on the list even when a speech therapy appointment is booked next week. An appointment booked without an episode counts for the patient's episode in the provider's discipline. Discharged and on-hold episodes and referrals waiting for an evaluation never appear; the referral queue covers those.

Each row shows the patient, the discipline, the episode's primary provider, the last visit and how long ago it was, where the follow-up stands, the reason, the next contact date and notes. The patient who has gone longest without a visit comes first; an episode with no visit yet shows No visits yet and counts the days since its start of care. Click a column header to sort by another column.

The list opens filtered to Open and Contacted episodes. Click Filter to narrow it by Discipline, Primary provider or Follow-up, or remove the follow-up chip to see snoozed and resolved episodes too. The location switcher at the top of the menu and the patient panel narrow it further. You see only patients you have access to.

Record a follow-up#

  1. Open the row's menu and click Follow Up.
  2. Choose a Status and a Reason, such as Scheduling conflict.
  3. Pick the Next contact date and add Notes, such as "Left a voicemail," then click Save Follow-Up.
StatusWhat happens
OpenNobody has followed up yet. Every new gap starts here.
ContactedYou reached out and are waiting. The episode stays on the list with its next contact date.
SnoozedThe episode leaves the list until the Next contact date, which becomes required and must be after today. Use it for a documented hold, such as an illness or a family trip.
ResolvedThe episode leaves the list until the patient is seen again, for example when the family asked to pause and the therapist plans to discharge.

A follow-up belongs to the current gap. Once the patient has a new visit, any later gap starts again as Open.

Book the next visit#

Open the row's menu and click Book Appointment. A new appointment opens with the patient, the episode and the primary provider filled in. To see when someone could see the patient first, click Find a Time instead; the open-time finder opens with the episode's discipline. Once the appointment is booked, the episode leaves the list.
