Payments
Wallet and visit packages
Take prepaid money into a patient's wallet that pays their later charges, and sell packages of visits that each finalized visit draws on.
Some families pay ahead. NeatPractice keeps prepaid money in two ways, both on the patient's chart under Insurance > Billing in Wallet and packages. You need permission to post patient payments to change them, and permission to read payments to see them.
The wallet#
The wallet holds money the family paid for services still to come.
- Click Fund Wallet, enter the amount, the date and how it was paid, and click Post Payment. The payment gets a receipt like any other.
- When a self-pay visit is finalized and its charges are created, the wallet pays what the patient owes on them, oldest funding first.
- To use the wallet on balances the patient already owed, click Apply Wallet. It pays the oldest open patient balances first.
Wallet balance shows what is left to spend. Wallet history lists every funding, each service it paid for and any refund, newest first.
- To give money back, request a refund on the wallet payment's credit (see Credits and refunds). The balance already counts refunds waiting for approval.
- A wallet payment can be voided only whole, before any of it paid for a service. After that, refund what is left.
- Wallet money stays with the patient who prepaid: it cannot be moved to another chart.
Visit packages#
A package sells a number of visits of chosen appointment types for one price, paid up front.
- Click Sell Package and enter its name, the appointment types it Covers, the number of Visits, the Price, and how and when it was paid. Turn on Expires to stop it covering visits after a date.
- The price is posted as a payment that waits for the package's visits. Each self-pay visit of those types, once finalized, uses one visit of the package and moves that visit's share of the price (the price divided by the number of visits) onto what the patient owes for it.
- The list shows each package with the visits it has left, its price, when it expires and its status (Active, Used up, Expired or Voided).
Booking an appointment of a covered type warns when the patient's package has no visits left, counting the visits already booked ahead, so you can sell another first.
To undo a package sold by mistake, choose Void Package on its row and give the reason. The purchase is reversed and its money leaves the books. A package that a visit already used cannot be voided; refund its unused part from the purchase payment's credit instead.
