Visit lifecycle

See every visit from booking to payment on one board, count how many sit at each stage, and filter by date range, provider, location and payer to find where visits are stuck.

The visit lifecycle board shows each visit, and each booking that has not become a visit yet, with the step it is waiting on. Open it from Visits > Lifecycle. Use it to answer "where is this visit stuck?" without opening the schedule, the note, the charges and the claim one by one.

Stages#

Each row sits at the first step it still owes:

StageWhat it means
BookedThe appointment is on the schedule and the patient has not arrived yet.
Checked inThe patient arrived and no visit has started.
Note in progressThe visit started and its note is not signed yet, or it waits for a co-signature.
SignedThe note is signed and nothing has been billed yet, or its charges are still in review.
BilledA claim went out, a superbill covers the date, or a self-pay balance is on the patient's account.
PaidNothing is owed on the visit any more, or it had nothing to bill.

Cancelled and voided appointments and visits do not appear.

Count and filter#

The tiles above the list count the visits at each stage under the current filters. Click a tile to list only that stage; click it again to clear it.

  • Range: how far back to look. The board always includes the next seven days, so upcoming bookings show.
  • Stage, Location and Payer: narrow the list from its toolbar. Self-pay visits show Self-pay as their payer.
  • Provider: pick providers in the side panel. Patients: pick charts in the patient panel.
  • The location switcher at the top of the menu also narrows the board.

Steps on each row#

Besides the stage, each row shows when the patient checked in, when the note was signed, the co-signature state, when charges were released, when the claim was submitted, when a superbill covering the date was issued, the first payment, the open balance and the first pay item. Show or hide these from the table's view options.

Click the date to open the visit (or the appointment, for a booking), the patient to open the chart, and the provider, location or payer to open their record.

Who sees what#

The board lists the visits your role can read. A provider whose role sees only their own visits sees their own visits and the bookings they are on. A role that can list other providers' visits without opening them sees those rows locked.

You can also add the Visit lifecycle card to your dashboard; each count opens the board at that stage.
