Setup

Import, export and print

Bring Setup lists in from a spreadsheet, download any list as a CSV file, and print lists, payers and locations.

Every Setup list has the same three buttons at the top of its page: Import CSV (on lists that take an import), Export CSV and Print. On a narrow screen they move into the More actions menu.

Export a list#

Click Export CSV to download the list as a file you can open in any spreadsheet. The file includes inactive records, so it is a complete copy of the list. Column names are short lowercase words such as claims_city or default_units, and yes or no settings read yes or no.

Lists that hold several disciplines, such as procedure codes, add a discipline column with the discipline code (ST, OT). Personal smart phrases never appear in an export; only your clinic's shared phrases do. Pay rates export and print only for people who manage pay rates, and devices and assets only for people who manage the practice.

Import a list#

You can import these lists:

ListWho can importRequired columns
PayersPeople who manage payersname
Procedure codesPeople who manage codesdiscipline, code, label
PhysiciansPeople who manage physicianslast_name, first_name
Goal libraryPeople who manage clinical librariesdiscipline, area, text
ProvidersPeople who manage providersemail, first_name, last_name, primary_discipline
Pay ratesPeople who manage pay rates and providersprovider_email, basis, amount, effective_from

Fee schedule lines have their own import on each version; see Fee schedules.

  1. Click Import CSV. The dialog lists the columns the file can use. Click Blank template to download a file with just the header row.
  2. Choose your CSV file. NeatPractice checks every row right away and shows what the import would do: how many rows it read, how many new records it would add, and how many match records you already have. If your browser cannot read the file, the dialog says so and drops any file chosen before; choose the file again.
  3. If any row has a problem, the dialog lists each one by its row number in the file with what to fix. Fix the file and choose it again. Import stays off until the whole file is clean.
  4. Click Import. Every new record is added at once, or nothing is.

A few rules apply to every import:

  • The first row names the columns. Names ignore capital letters, spaces and dashes, so Claims City works for claims_city. Columns the list does not use are ignored, so an exported file imports as it is.
  • Rows that match a record you already have are skipped, never changed. A payer matches by name, a procedure code by discipline and code, a physician by NPI (or by name when there is no NPI), a goal by discipline, area and text, a provider by the user's email, and a pay rate by provider, code, appointment type, location, start date, basis and amount. Edit existing records on their own screens.
  • Empty cells take the usual default: a new payer is commercial and active, a procedure code is timed with one default unit, and so on.
  • A cell with several values, such as a provider's other_disciplines, separates them with semicolons (OT; PT).
  • A file can hold up to 2,000 rows and must be smaller than 1 MB. Split a bigger file into parts. A bigger file is refused as soon as you choose it.
  • If the check cannot run, for example while you are offline, click Try again to check the same file again.

A pay rate row follows the rules of the provider screen: basis is hourly, per visit, per unit, percent of collections or salary; group_session is per session or per patient for per-visit rates; dates read like 2026-01-31; appointment_type matches a type's name and location a location's short code or name. A row whose dates overlap another rate with the same code, appointment type and location is refused, and a new open-ended rate ends the current one the day before it starts.

Imported goals arrive without links between short-term and long-term goals. Open a short-term goal to place it under its long-term goal.

Print#

Click Print on any Setup list and NeatPractice builds a PDF of the whole list in a table and downloads it, ready to open and print. The PDF has the same columns as the CSV export, follows the same discipline filter, and shows the date and time it was printed in your clinic's time zone, with page numbers at the bottom.

To print one payer or one location, open it and click Print at the bottom of its dialog, next to Close. The PDF shows its details, claim settings or billing identity, the payer's billing rule versions and, for a location, its business hours and holidays.
