Meeting service
Connect your clinic's Zoom, Microsoft Teams or Google Meet account so telehealth appointments can have their meeting created and their link filled in for them.
By default, a telehealth appointment uses the meeting link someone pastes on it, or the provider's default meeting link. Connecting a meeting service lets NeatPractice create the meeting for you instead: it makes a meeting in your clinic's account at the appointment's time and puts the link on the appointment, in reminders and on the patient's appointment page.
Open Setup > Integrations > Meeting Service. People whose role can manage the practice can connect and change it; everyone sees which service is connected.
Connect a meeting service#
- Click Connect Zoom, Connect Microsoft Teams or Connect Google Meet.
- Sign in with the account your clinic holds its meetings in and allow NeatPractice to create meetings.
- You come back to the Meeting Service page, which shows the account and who connected it.
A clinic connects one meeting service at a time. To switch services, disconnect the current one first.
Create meetings by default#
Turn on Create a meeting for every new telehealth appointment and click Save Changes to have every new telehealth booking without a pasted link get a meeting. Leave it off to keep the pasted or default link as the usual way, and turn on Create a meeting on the bookings that need one. Either way, the switch on each booking decides.
What NeatPractice creates#
- Each meeting is titled NeatPractice appointment and never names the patient.
- Zoom meetings are created with the waiting room on, so you admit the patient.
- Moving the appointment moves the meeting, and cancelling it deletes the meeting.
- Pasting your own link over a created one deletes the created meeting.
- A rescheduled appointment keeps its meeting on the new booking.
Meetings are usually created within seconds of saving the appointment. If the meeting service is slow or does not answer, the appointment shows Creating meeting and NeatPractice tries again every few minutes.
Disconnect#
Click Disconnect on the Meeting Service page. Meetings already created stay in your meeting service, so the links patients have keep working. Meetings still waiting to be created are dropped, and new telehealth appointments go back to the pasted or default link.
