Deposits

Group payments by bank deposit and close each deposit once it matches the bank.

A deposit groups the payments that went to the bank together. Keeping deposits balanced makes sure what you posted matches what the bank received. Open Deposits under Payments in the Billing panel of the main menu. You need permission to manage deposits.

Create a deposit#

Choose New Deposit and enter the date, the Method (check, EFT, cash or card batch) and the Bank total: the amount on the deposit slip or bank statement. Add a reference, a payer or a bank account if they help you find it later.

Payments taken at the front desk do not need a deposit picked by hand, though a new payment can join any open deposit of its method through its Deposit field. NeatPractice opens an Automatic deposit for the day and method, and its bank total follows its payments until you enter a counted total. A remittance opens its own deposit for the payer's check or EFT.

Balance and close#

Open a deposit to see its payments, its payer suspense amounts and the Difference between what is posted and the bank total. When the difference is zero, choose Close Deposit. A closed deposit takes no more payments; a later reversal of one of its payments goes to an automatic deposit for the day instead. A remittance claim still waiting in the exception queue cannot be posted into a closed deposit; reopen the deposit first.

To fix a closed deposit, choose Reopen and give a reason. It must balance again before it closes.

Bank statements#

Choose Import Statement to bring in a bank statement. Each EFT deposit in it is matched to its remittance by trace number, the deposit shows Funded, and a balanced deposit closes on its own. See Bank feed.

Files#

Use the Files tab to keep the deposit slip or the bank's confirmation with the deposit.
