Administration
Assistant credits
See your clinic's assistant credit balance and usage, buy credit packs, and set who can use the assistant and how much.
The assistant runs on credits. Each answer uses credits for the text it reads and writes, so a short question costs less than a long task. Text the assistant has read recently in a conversation (its instructions and the earlier messages) is reread from a cache at a much lower price, so follow-up questions in the same conversation usually cost fewer credits than the first. Open Setup, then Assistant, to see where your credits stand and to change the assistant's settings. You need the assistant administration permission, which the Owner and Clinic Admin roles have.
Model tiers#
Each user picks a model tier in the assistant panel: Small, Medium or High. A higher tier uses a more capable model, not a longer answer. The same question costs about 20 times as many credits on Medium as on Small, and about 40 times as many on High. Small suits most lookups and how-to questions; encourage your team to start there.
Drafting a note's AI narrative has its own pick, remembered apart from the assistant panel's and starting at Medium. The Highest model tier setting below caps both: tiers above it are hidden from every picker, and a request above it runs, and is charged, at that tier.
Where credits come from#
- Plan allowance. Your plan includes a number of credits each billing period. They are used first and reset at the start of the next period; unused allowance does not carry over.
- Credit packs. Buy more at any time. Purchased credits are used after the allowance and last 12 months from the purchase.
The credits page#
- Credits opens with four cards: the balance, the plan allowance left, the purchased credits you still have and what was used so far this period, split between the assistant (with its drafts and summaries) and AI note audits. A Low badge appears on the balance when 10 percent or less is left.
- Plan allowance shows a bar of how much of this period's allowance is used and the date it resets.
- AI note audits shows a bar of how much of this period's audit budget the AI note audits used, and the budget's share of the period's credits. Set the share in Documentation Rules. Audits never count against a user's monthly limit.
- Buy credits lists the packs you can buy with each one's price per 1,000 credits; the cheapest rate is marked Best value. Pick a pack and click Buy credits to go to a secure checkout page; the credits are added when the payment goes through, and you return to this page.
- Usage by user shows how many requests and credits each user used this billing period, and Usage by day the credits used each day, with how many of them went to AI note audits. Audits after signing run on their own, so they count in the days but not under a user.
- Credit history lists allowances, purchases, adjustments and expired credits.
Settings#
| Setting | What it does |
|---|---|
| Turn on the assistant | When off, nobody in your clinic can open the assistant. |
| Email administrators about low credits | Owners and clinic administrators get an email when 20 percent or less is left, and again when credits run out. |
| Limit each user per month | Turn on to set the most credits one user can use in a billing period; the limit appears beside the switch. |
| Keep conversations (days) | Saved conversations idle longer than this are deleted. The default is 90 days. |
| Highest model tier | The most capable model anyone in your clinic can use, for the assistant and for note drafts. The default is High. |
Click Save Changes to apply them. Changes to these settings appear in the audit log.
When credits run out#
When your clinic has no credits left, the assistant stops answering and shows a message. Administrators see a Buy credits link in the panel. Users who reach their monthly limit see a message asking them to contact an administrator.
