Modules

NeatPractice sells each discipline as a module: speech therapy (SLP), occupational therapy (OT), the other rehab disciplines and applied behavior analysis (ABA). Add-ons such as fax and text messages work the same way on the subscription page. Patients, the schedule, billing, payments and reports are part of every plan, whatever modules you hold.

Your included discipline#

The Free, Basic and Standard plans include one rehab discipline of your choice. Advanced and Enterprise include every rehab discipline. ABA is never included; it is priced on its own.

Open Setup > Clinic > Subscription. The box above Modules names the discipline your plan includes. If your clinic holds more included disciplines than the plan allows, or none, the box asks you to choose:

1. Click Choose Discipline (or Change Discipline to swap later).
2. Pick the discipline under Discipline and click Save.

The disciplines you did not pick stay readable. Add them as paid modules to keep creating new records in them.

Time to choose#

You have 30 days to choose, counted from when the box first asks. The box shows the date. If no one chooses by then, NeatPractice keeps the first discipline your clinic held as the included one and the others turn read-only, the same as if you had picked it yourself. You can still change the discipline afterwards. The security audit log records each choice, whether an administrator made it or it was made when the time ran out.

If your clinic holds no rehab discipline when the time runs out, none is picked for you. The box keeps asking until you choose one.

See your modules#

The Modules section lists every discipline, add-on and bundle with its type, state and price on your plan.

Add a module#

1. Open the menu on the module's row and choose Add.
2. Read the price in the dialog and click Add.

A flat module starts right away. Your card is charged for the rest of the current billing period, and the module appears on every invoice after that. If the payment does not go through, nothing changes and the dialog says so; check the card on file under Manage Subscription.

Adding a module needs a paid plan. Enterprise modules are part of your agreement; contact the NeatPractice team to change them.

Remove a module#

Open the menu on the module's row and choose Remove. The module stays until the end of the billing period and is not charged again. After that its records turn read-only: episodes, notes, plans, documents and graphs stay readable, printable and exportable, drafts dated before the removal can still be signed for 30 days, and billing for services already delivered is never blocked. Adding the module again restores full access with nothing lost.

Your included discipline cannot be removed this way; choose another one instead.

Try a module free#

Each module has one free 30-day trial per clinic, on any paid plan that sells it. Open the menu on its row and choose Start Free Trial. Owners and admins get a reminder 7 days and 1 day before the trial ends. At the end the module turns read-only unless you add it.

ABA pricing#

ABA is billed once a month, after the month ends, for each active learner: a patient with at least one signed ABA session or ABA charge dated in that month. A learner counts once a month however many sessions, codes or providers they had, and voided visits do not count.

When you add ABA, the dialog shows how many active learners the month has so far. The ABA active learners report lists them. The ABA trial covers up to 10 active learners a month; owners and admins are told when the trial reaches 80 and 100 percent of that.

Claims whose lines are all ABA services are included in the learner price, up to 8 per active learner a month. Only claims beyond that count toward your electronic claims allowance.

Technician seats#

While your clinic holds ABA, members whose only role is Behavior Technician can take a free Technician seat instead of a Full or PRN seat. Your clinic can hold up to four technician seats per active learner last month, and never fewer than ten. The Licenses section shows technician seats in use out of that number. Pediatric suite#

On the Standard plan, the Pediatric suite bundle includes every rehab discipline plus ABA at the Advanced learner rate ($12 per active learner, no minimum) for $99 a month. Add and remove it like any module.
