Agreements
Accept the business associate agreement, clinic terms, terms of use and HIPAA confidentiality acknowledgment, and download a record of every acceptance.
Before anyone uses NeatPractice, your clinic and each of its users accept a short set of agreements. When a new version of an agreement is published, everyone it applies to is asked to accept it again the next time they open NeatPractice.
Who accepts what#

The business associate agreement sets out how NeatPractice protects your patients' information on your behalf. The HIPAA confidentiality acknowledgment is each user's promise to look at and share patient information only as their work requires.
If you belong to more than one clinic, you accept the terms of use and the HIPAA confidentiality acknowledgment only once: they count in each of your clinics. Each clinic's own agreements are still accepted by an owner of that clinic.
Accepting#
When agreements are waiting, NeatPractice shows them one at a time before anything else opens:
- Read the agreement in the scrolling box to its end. Accepting stays off until you reach the end.
- Check I have read and accept and click Accept and Continue.
- Repeat for the next agreement. After the last one, NeatPractice opens as usual.
Each acceptance records who accepted, which version, the date and time, and the computer's network address.
Until your agreements are accepted, nothing else in NeatPractice works for you: signing in, signing out and the agreements themselves are all that open.
A support session from the NeatPractice team never accepts anything for your clinic or your users.
Downloading a record#
Open Setup > Clinic > Organization and find Agreements. Each row shows the agreement, whether it Counts for this clinic or every clinic of the user, its version, who accepted it and when, and the network address. A user who accepted their own agreements in another clinic is listed here too. Click the row's menu and Download to save a PDF of the agreement text exactly as accepted, with the acceptance details at the top.
People who can view the organization settings see every user's acceptances. Everyone else sees the clinic's agreements and their own.
