Patients
Find a patient
Search the patient list by name, a guardian's or contact's name, chart number, member ID, date of birth, phone or email, filter it, reopen recent charts, and export it.
Open Patients to see the patient list, sorted by last name. Click a column header to sort by name, chart number, date of birth, phone, status or location instead, and use the column menu to choose which columns you see. Click a patient's name to open the chart.
Search#
Type in the search box. NeatPractice matches each word you type against:
- the start of the legal first, middle or last name, or the preferred name (
jorfinds Jordan) - the start of a guardian's, caregiver's or other contact's first or last name (
Dana Examplefinds the children who list Dana Example as a contact) - a close misspelling of a first, last or preferred name, for words of four letters or more (
jonsonfinds Johnson, sachafinds Sasha) - the start of the chart number (
1001) - the start of a member ID on any of the patient's coverages (
TEST12). Member IDs help you find the patient but never show in the list. - a date of birth written as
MM/DD/YYYYorYYYY-MM-DD - part of a phone number, at least four digits, including a guardian's or other contact's number (
555-0142) - the start of an email address (
jordan@example.com)
Use several words to narrow the list: example 1980-01-15 finds patients named Example born on that day.
Filters#
The filters sit next to the search box. Combine as many as you need; each one narrows the list further.
| Filter | Shows patients who |
|---|---|
| Provider | have that provider on their care team today |
| Staff owner | have that staff member in a non-clinical owner role, such as intake coordinator (see Staff owners) |
| Discipline | have an episode of care in that discipline that is not discharged |
| Primary payer | have that payer on the coverage billed first today (an ended coverage no longer counts, so a secondary that is now billed first does) |
| Has alerts | have an alert in effect today |
| Authorization expiring | have an approved authorization in the Expiring tab of the authorization queue |
| All statuses | are on hold, discharged or inactive, in addition to the Active and Referral patients the list shows by default |
| Labels | carry any of the labels you pick (a folder means any label in it) |
| Without labels | carry none of the labels you pick |
| Clinic field | have that value in one of your clinic's custom fields; text fields match part of the value |
Pick a selected provider, discipline or payer again to clear that filter.
Click Filter in the list toolbar to narrow the list by Status or Location (the patient's default location). A status filter shows the statuses you pick, even ones the list hides by default.
Select patients with the checkboxes to Change Labels, create a New Task for each one or Apply Template to them; see Tasks.
You see only the patients your role and locations allow. The list also follows the location picked at the top of the menu; see Choosing a location.
Recently viewed#
Click Recent in the list toolbar to reopen one of the last ten charts you opened. The list is yours alone, is kept by NeatPractice rather than in your browser, and leaves out any chart you can no longer open.
Export the list#
Open the actions menu at the top of the page and choose Export CSV, Export Excel or Export PDF to download the patients that match your current search and filters.
- CSV and Excel include chart number, names, date of birth, sex, status, primary phone and email, address and default location.
- PDF is a printable table with chart number, name, preferred name, date of birth, status, phone, email and location, on landscape pages.
An export holds up to 10,000 patients. Exports never include Social Security numbers or member IDs.
Only people whose role can export patient charts see the export choices. Each export is recorded with the patients it contained.
