Telehealth

Book telehealth appointments with a meeting link from Zoom, Teams, Meet or any other tool, send the link in reminders and bill the visits with the telehealth place of service and modifier.

Telehealth in NeatPractice is a way of seeing a patient, not a video call inside the app. You hold the visit in the meeting tool your clinic already uses, such as Zoom, Microsoft Teams or Google Meet. NeatPractice books it, keeps the meeting link with the appointment, sends the link in reminders, checks consent and bills the visit with the right telehealth codes. Telehealth is part of every plan.

Book a telehealth appointment#

  1. Book the appointment with Telehealth turned on. Appointment types such as Telehealth treatment turn it on for you (Telehealth by default on the appointment type).
  2. Paste the meeting link in Meeting link (see Meeting links), or leave it empty to use the provider's default meeting link. If your clinic connected a meeting service, turn on Create a meeting instead to have the meeting made for you (see Create meetings for you).
  3. Make sure each patient has a telehealth consent on file for the date of the visit (chart, Consents tab). Booking a telehealth appointment without one shows a booking check warning.

Telehealth appointments carry a video icon on the calendar.

A meeting link is the address of the meeting in your own tool, for example https://zoom.example.com/j/0000000000.

  • It must start with https:// and be at most 500 characters. Copy it from your meeting tool's invite.
  • Each provider can save a Default meeting link on their provider profile, such as a personal meeting room. A telehealth appointment booked without a link starts with the default of its primary provider (or of another provider on it). Clearing the link later keeps it empty; it does not fill in again.
  • Turning Telehealth off removes the link from the appointment.
  • A cancelled or rescheduled appointment stops showing its link. A rescheduled appointment keeps the link on the new booking.

Create meetings for you#

When your clinic connects Zoom, Microsoft Teams or Google Meet under Meeting service, a telehealth appointment without a pasted link shows Create a Zoom meeting (named for your service). With it on, NeatPractice creates the meeting in your clinic's account and fills in the link as soon as you save. The dialog shows Creating meeting until the link arrives, then Meeting created.

The created meeting follows the appointment: moving it moves the meeting, cancelling it deletes the meeting, and a reschedule keeps the same meeting on the new booking. Meeting titles read NeatPractice appointment and never name the patient. Your clinic can turn on creating a meeting for every new telehealth booking; the switch on each booking still decides.

Join the meeting#

Click Join Meeting to open the meeting in a new browser tab. It shows on:

  • the appointment card on the schedule,
  • the appointment dialog, at the left of the footer,
  • the telehealth list and the appointment list, in the row's actions,
  • the visit screen, at the top, while the visit is a draft,
  • the patient's Attendance tab, on each telehealth appointment that is still coming up or under way.

Where you see someone else's appointment only as Busy, there is no Join Meeting.

Calendar files and feeds#

Calendar files and your calendar feed carry the meeting link of a telehealth appointment, so you can join from your own calendar app. Events shown as Busy never include it.

What the patient gets#

  • Every appointment reminder for a telehealth appointment carries the meeting link. A template can place it with {{meeting_link}}; a template that leaves it out gets a Join the meeting line at the end.
  • The page the reminder's link opens shows a Join Meeting button next to the appointment details.

The telehealth list#

Open Telehealth in the Schedule panel of the main menu to see the telehealth appointments at your locations in a date range, earliest first. It works like the appointment list: change the dates or show one provider or type in the toolbar, and pick patients in the patient panel to see only their appointments.

Start the visit#

Start the visit as you would any other (see Visits). A telehealth patient never passes the front desk, so starting the visit counts them as arrived without a check-in; a group still checks each patient in. The place of service and the telehealth modifier come from the patient's payer rules.
