ABA

ABA sessions oversight

Every ABA session from booking to payment on one list, with the time each step happened and the first step still open, for clinic administrators and billing managers.

ABA sessions under Oversight lists every ABA session in a date range with where it stands, so an administrator or billing manager can see which sessions are stuck before they turn into lost revenue. It appears while your clinic has the ABA module.

Who can see it#

You need permission to view ABA oversight (given to billing managers in ABA clinics) or to view operational reports. The header location and the patient and provider panels narrow the list. If your role lists other providers' notes without opening them, their sessions show without a link.

What each row shows#

One row per session, newest first: the session time, the learner, the provider, the location and the codes documented. A booking that has no visit yet shows as Scheduled.

Each step shows the time it happened, or a dash while it is still open:

StepWhen it is done
Data collectedA data session on the visit ended.
Note signedThe session note was signed.
Caregiver signedA caregiver signed for the session.
ReviewedThe note's review or QA review was approved.
EVVThe provider clocked out of the visit.
Charges releasedThe session's charges left Charge Review.
ClaimedA claim with the session's charges was submitted.
PaidThe first payment was applied to the session's charges.
PayrollThe session produced a pay item.

Use the table's view options to show or hide steps.

Stages#

The Stage column names the first step still open, in this order: Scheduled, Documenting, In review (a review is pending or the note was returned), Charges not released, Not claimed, Unpaid and Paid. Caregiver signature, EVV and payroll show as steps only, since not every session owes them.

Pick a Stage to list only the sessions waiting at it, a Code to list only sessions billed with it, and a Range of the last 7 to 90 days (14 by default). Click the session time to open the visit, or the appointment when no visit exists yet. Export CSV saves every session that matches the filters, with each step's date and time.

ABA exceptions widget#

Add the ABA exceptions widget to a dashboard to see, at a glance, how many authorizations are nearly used or end soon, how many ABA providers' credentials expire soon, how many supervision logs are at risk this month or were not met last month, how many notes are still unsigned after the grace hours, how many notes a review returned and how many mastery decisions are waiting. Each tile opens the list where you work it. The percent, days and hours come from your clinic's exception thresholds (90%, 30 days and 48 hours unless changed).
