QA reviews
Review the signed notes your QA rules picked, approve them or return them to the author for an addendum, and release the charges a payer holds for QA.
Your clinic's QA rules send some signed notes to a quality reviewer: a share of notes for a payer or provider, or every note an audit finds issues in. QA works the same way in every discipline, ABA included.
Open Documentation > QA reviews to see the queue, oldest first. The tabs show notes Awaiting review, Returned to their author and Approved. Picked by names the rule that sent each note. Pick patients in the patient panel, or authors on its Providers tab, to narrow the list. A review past the clinic's review deadline shows Overdue. The number beside QA reviews in the menu counts the notes waiting for quality review.
Reviewing a note#
Click Review on a row, then Open the Note to read it.
- Approve: check the attestation and click Approve. QA approval never adds a co-signature.
- Return: say what the author should correct and click Return. The author corrects the signed note with an addendum, which sends the note back to the queue.
- Add Comment: the author and the reviewers can talk in the review's thread.
You cannot review your own notes. Reviewing needs the Clinical: Audit Review permission; with caseload access you see the notes of your caseload's patients.
When your clinic has the ABA module, the ABA: QA Review permission (held by the QA Reviewer role) also works this queue, for ABA notes only: it lists and approves or returns the QA reviews of ABA sessions without the wider audit permission.
Audit results in the queue#
The Audit column shows each note's latest finished audit: Passed or Issues found, how many checks passed and failed, and how many findings are still open. Not audited means no audit has finished on the note. Pick Issues found, Passed or Not audited in the audit filter above the list to see only those notes.
Approving several notes at once#
On Awaiting review, check the notes you have read and click Approve Selected in the bar that appears. Check the attestation once, enter your verification code when asked, add a comment if you like and click Approve. Each note is approved on its own; a note you cannot approve (your own, or one already decided) says why and stays in the queue.
Split view#
Turn on Split view to work the queue beside the note. Click Review on a row and the note opens on the right as it was signed, with its audit results and findings, the review thread and the Return and Approve buttons. After you decide, the next note in the list opens. NeatPractice remembers the view for you.
Charges waiting for QA#
When a payer has QA approval required to bill turned on, a picked note's charges wait in charge review with the Awaiting QA review hold. Approving the note lifts it at once.
To hold every payer's charges the same way, turn on Hold charges until QA approves the note under Setup > Claim forms, QA approval. Then any note a QA rule sends to the queue keeps its visit's charges on hold until a reviewer approves it, whatever the payer. Changing it needs the Setup: Payers Manage permission.
