Handouts

Keep the files families read in an intake packet, such as a welcome letter, clinic policies or the wording of a consent, with every version.

A handout is a file your clinic gives every new family: a welcome letter, attendance policy, parking map or the wording of a consent form. Open Setup > Handouts to keep them, then add them to an intake packet.

Click New Handout and fill in:

  • Name: what the family sees in the packet.
  • Description (optional): a note for staff.
  • File: a PDF or image up to 10 MB.
  • Active: inactive handouts cannot be added to new packets. Packets already sent keep them.

Click Open on a row to download the file. In a packet the family opens the handout and clicks I Have Read It, and the packet records when. A consent item in a packet can also show a handout as the form to read before signing.

New versions#

To change a handout's file, click Edit and choose the New version of the file. Each file is kept as a numbered version: packets sent from now on open the latest one, and earlier versions stay available. Choose Version history in the row's menu to see every version with what changed and when, and to download any of them.

When you replace the wording of a consent, also fill in:

  • What changed: a short note kept with the version, such as "Adds a paragraph about visits by video".
  • Ask everyone who signed an earlier version to acknowledge again: turn this on when the change matters, not for a typo. Every consent signed on an earlier version of this handout is then due again.

The Waiting to acknowledge column counts the patients still due. Click the count, or Waiting to acknowledge in the row's menu, to list them; each name opens the chart's consents, where you send the new version for signature.

To ask many families at once, check their rows (or the header box for everyone) and click Ask to Acknowledge. Each chosen patient gets an intake packet asking whoever signed the earlier version (or the patient, when that contact left the chart) to read and sign the new one. The link goes out right away by email or text when one is on file and allowed; the family confirms the patient's date of birth to open it. A message says how many were asked, how many links have nobody to send them to (share those with Show Link in the chart's Intake packets), and how many charts were skipped because a request for this handout is already open. Asking needs permission to edit charts, and only charts you can edit are asked.

Managing handouts needs the Setup: Practice Manage permission.
