Competency and performance plans

Score staff on competency checklists while you watch them work, follow each staff member's scorecard, and write performance plans with targets, mastery criteria and tasks.

Supervisors watch the staff they supervise at work and coach them. NeatPractice keeps two records for that, both in the Documentation panel: Competency for scored observations and Performance plans for longer coaching plans. You see the staff you supervise and the staff on care teams you coordinate; people with supervision access for the whole clinic see everyone.

Competency checklists#

A checklist lists what you look for while observing: the steps of a procedure, professionalism items (on time, respectful with the family) and environment items (materials ready, a safe space). Set checklists up in Setup > Supervision.

Record an observation#

  1. Open Documentation > Competency and click New Observation.
  2. Pick the Staff member, the Checklist and the date observed.
  3. Score each item Met, Not met or Not applicable, and add notes if you like.
  4. Click Save Observation.

The score is the items met divided by the items met or not met; items not applicable do not count. An observation stays a draft you can edit until you choose Finalize: every item must be scored, and a finalized observation is locked.

Scorecards#

Scorecards lists each staff member with finalized observations: how many, the average score, the latest score and when they were last observed. Use it to see who needs more coaching. Pick providers on the Providers tab to see only their scorecards and the observations of or by them; on Performance plans, the plans for or owned by them.

Performance plans#

Open Documentation > Performance plans and click New Plan to coach a staff member on one work behavior:

  • Pinpointed behavior: the specific, observable behavior to improve.
  • Target and Measurement: where it should get to and how you measure it.
  • Mastery criterion: when the plan counts as mastered, for example 90% on three observations in a row.
  • Support and due date: what you will do to help, and when the plan should be done.
  • Tasks: the steps along the way, each with an optional due date and a done date.

Set Status to Mastered or Discontinued when the plan ends; the date it closed is kept. Active plans are listed first.
