Schedule

Below plan frequency

Find the weeks where a patient has fewer visits booked than their plan of care calls for, and book the missing visits.

A plan of care sets how many visits a week the patient should have. Below plan frequency lists the weeks, over the next four, where fewer visits are booked than that, so you can book the rest before the week arrives. Open it from the Schedule panel of the main menu.

What it lists#

Each row is one patient, one plan and one week:

  • Week: the week, starting on your practice's first day of the week.
  • Patient, Discipline and Primary provider of the episode.
  • Booked: how many visits are booked against the plan's visits per week, and how many short.

NeatPractice reads only signed plans of care with Visits per week filled in, on active episodes. A week counts only when the plan covers all of it, so a plan that starts on a Wednesday is not flagged for its first few days. An appointment counts for the episode it was booked under (or, booked without one, for the episode in its provider's discipline). Cancelled, rescheduled and no-show appointments do not count; completed and upcoming ones do.

The list follows the location picker at the top of the menu and the patient panel. Use Filter to show only some disciplines or providers.

Book the missing visits#

From a row's menu, choose Book Appointment to open a new appointment for the patient and episode, dated in the short week (today, for the current week), or Find a Time to search for open times (see Find an open time). Once enough visits are booked, the week leaves the list.

On the calendar and the dashboard#

When any week in view on the calendar is short, the toolbar shows how many, such as 2 weeks below plan frequency. Click it to open the list. Add the Below plan frequency table to your dashboard to keep it in sight, and run the Visits below plan of care frequency report in Reports for a longer view or to export it.
