Check-in kiosk
Turn a clinic tablet or computer into a self-check-in kiosk where patients and caregivers mark their own arrival for today's appointments.
The check-in kiosk lets a patient, or the parent or caregiver who brings them, check in on a clinic device without waiting at the front desk. The kiosk shows no schedule and no patient list, and it cannot open any other part of NeatPractice.
Start the kiosk#
- On the device the kiosk will run on, sign in and go to Schedule, then Check-in kiosk.
- Click Start kiosk and choose the location the device is at.
- Click Start Kiosk. NeatPractice signs you out of the device and opens the welcome screen.
You need the permission to start the check-in kiosk. The Front Desk role has it, and owners and clinic admins can add it to other roles in Setup.
What patients do#
The welcome screen shows any announcements running today at the location, such as early closing or holiday hours, above the check-in button.
- Tap Tap to check in on the welcome screen.
- Pick the first letter of the patient's last name.
- Enter the patient's date of birth.
- Pick the appointment time from today's times at the location.
- Check the first name and time on the screen and tap Check me in, or This is not me to start over.
- Answer whether their phone number, email and address are still the same.
The kiosk only finds today's in-person appointments at its location. When the answers do not match exactly one appointment, for example two siblings with the same birthday booked at the same time, the kiosk asks the patient to see the front desk. It never says why.
After a few failed tries in a row, the kiosk asks everyone to see the front desk for about ten minutes.
What the front desk sees#
A kiosk check-in marks the patient Arrived, the same as checking them in at the desk, and open calendars update right away. On the calendar the appointment reads Kiosk before its type, and its summary shows Checked in at kiosk. The Today's appointments dashboard widget shows a Kiosk badge beside the status.
When the patient taps I need to update it, the appointment summary also shows Update contact info. The kiosk never changes the chart: update the details with the patient at the desk, from their chart.
The kiosk check-in is recorded for the staff member who started the kiosk, marked as coming from the kiosk, in the check-in record and the audit log. Coverage, eligibility, consents and copays are not reviewed at the kiosk; use the check-in window for those, and the kiosk takes no payments.
Privacy between families#
- The welcome screen shows only your practice and location names.
- The patient's first name and time show only after a match, and the screen clears 20 seconds after check-in, or after a minute without a tap.
- The browser's back button stays on the kiosk, so the next family cannot see the previous one.
End the kiosk#
Tap Staff in the corner of the welcome screen, then End Kiosk. Check-in stops on the device and it stays signed out, so a staff member signs in again to use NeatPractice. A kiosk also stops on its own 12 hours after it starts.
