Reports
Run a report
Choose a report's parameters, read the results, group and total rows, search inside the report and save the parameters you use often.
Open a report from the catalog. The parameters sit in a bar above the results, and the back arrow next to the title returns you to All reports.
Choose parameters#
Each report asks only for what it needs. Common ones are:
- Date range: most reports start with a sensible range, such as the last 30 days or the next 14 days. Both dates are included, and "today" is today in your clinic's time zone, wherever you are. A report covers at most a year; audit-style reports cover up to about three months at a time.
- As of: reports about a point in time, such as authorizations or benefit limits, read your records on this date.
- Locations, Providers, Disciplines, Payers: leave empty to include them all. Locations starts on the location you picked at the top of the menu (empty under All locations). If you pick another location while it still holds that choice, it follows along and the report runs again if results are showing.
- Patient and User: for reports that follow one person, such as PHI access. A report that takes a patient picks it in the patient panel on the left, the only patient picker on the page: pick a patient there and the report runs again for that patient if results are showing. Other choices you changed stay as they are.
- Report-specific choices, such as Show by or Show.
Click Run report. If a required field is empty or the end date comes before the start date, NeatPractice marks the field and explains what to change before running.
Read the results#
The header repeats the parameters the report used, when it ran and how many rows it found. If you change a parameter after running, the results stay on screen with a Parameters changed note until you run the report again; Refresh and exports keep using the parameters shown in the header. Totals follow the same formulas everywhere in NeatPractice: a rate is always the total of its parts divided, never an average of row rates.
- Search filters the rows already on screen. It matches values as you see them, such as
Oct 1or$1,250.00. When nothing matches, click Clear search to see every row again. Totals always cover the whole report, not just the rows matching your search. - Filter narrows the rows by a number or date column.
- Long text is cut to one line. Point at it, or tab to it with the keyboard, to read all of it.
- Columns lets you show or hide columns. Some detail columns start hidden.
- Group by in a column's header menu folds the rows into one row per value, with a count and subtotals. Click a group to see its rows; choose Ungroup to go back.
- Click a row's link to open the patient, visit, document or other record behind it. A document opens in its window; an appointment, authorization, episode or coverage opens its chart section with that row marked. If the record was removed or you cannot see it, the chart section says so. Back returns you to the report.
A report shows up to 10,000 rows on screen. When there are more, NeatPractice tells you and offers a background export with every row (see Exports and scheduled deliveries).
Save parameters#
Click Save parameters to keep the choices shown in the parameter bar under a name, whether or not you have run them yet. Turn on Share with the clinic to let everyone in your clinic who can open the report use them; only you can change or delete a set you saved. Pick a saved set from Saved parameters to fill in the parameters and run the report. A link to saved parameters that were deleted or are no longer shared opens the report with its usual parameters and says so.
