Payroll

Workers

Record whether each provider is an employee, an exempt employee or a contractor paid through a company, and keep the companies contractors invoice from.

Open Workers in the Payroll panel. People who can see all pay see every provider's worker type; people who can manage pay periods change them.

Worker types#

Every provider is a non-exempt employee until you record otherwise:

Worker typeOvertime and break premiumsTime off accrualPay statementEmployee payroll files
EmployeeYesYesEarnings statementListed
Employee, exemptNoYesEarnings statementListed
ContractorNoNoInvoice from their companyLeft out

To change a provider, choose Edit Worker Type from their row. Each change applies from its From date, and a pay period follows the worker type in force on its last day. For example, a contractor hired as an employee on the first of a month gets a new row from that date.

Pay periods already closed keep the worker type they were paid under: changes dated on or before the last day of the latest closed period are locked. Date the change after it instead. Open periods recalculate overtime and break premiums with the new type.

Contractors#

A contractor is paid through a company. Add the company under Contractor payees with New Payee: the company name, its EIN, a billing email and, if you want it on invoices, its mailing address. Never enter a person's Social Security number as the EIN. Then set the contractor's worker type to Contractor and choose the company in Paid through.

The payee list shows the EIN masked (**-***6789). When you edit a payee, leave EIN empty to keep the one on file, enter a new one to replace it, or turn on Remove the EIN on file. Invoices print it in full.

When a period closes, Download Invoice on the period's Providers tab prints the contractor's pay as an invoice from their company to your clinic. The invoice number is the same every time you print it for that period, and the pay date is its due date.

Payroll files for Gusto, ADP, Paychex, Paycor, Paycom and Paylocity leave contractors out, and the generic CSV lists them with their company (see Payroll files). A payee that a contractor is paid through cannot be deleted.
