Onboarding
Track new hires on a board of your own stages, each with a checklist that fills in from their documents, credentials, payer enrollments, pay rate, caseload and training.
Open Setup > Onboarding to see every new hire as a card under the stage they are in, such as Paperwork or Credentialing. Each card shows how much of the hire's checklist is done. The Users list shows the same percent in its Onboarding column.
Start onboarding#
First invite the hire as a user in Users. Then click Start Onboarding and choose:
- New hire: the user you invited.
- Stage: where they start on the board.
- Start date: their first day, if you know it.
- Not needed: checklist items that do not apply to them, such as Caseload for an office manager.
Starting onboarding assigns the workforce training courses their roles call for.
The checklist#
Nobody ticks the checklist by hand: each item is done once the matching record exists.
| Item | Done when |
|---|---|
| Provider profile | The hire has a provider profile |
| Required documents | Every staff document that applies to them has a current, approved copy |
| Credentials | They have a current credential on file |
| Payer enrollment | They are enrolled, or pending, with at least one payer |
| Pay rate | They have a pay rate (only when your clinic uses Payroll) |
| Caseload | They are on at least one patient's care team |
| Training | Every assigned course is complete, and any training hours their credentials require are met |
A hire with no provider profile, such as front desk staff, has only the profile and training items; mark the profile as not needed.
Move a hire along#
Click a hire's name to open their checklist. Change the Stage to move their card, update the items that are not needed, or turn on Onboarding complete to take them off the board.
Your stages#
Click Edit Stages to rename, add, remove or drag the stages into order. A stage that still holds hires cannot be removed; move them first.
