Add-ons
Paid add-ons (payroll, fax, text messages, electronic claims, eligibility checks) and no-charge add-ons (family portal, online intake, staff messages and more); prices, who can turn them on and off, and what happens to your records if you remove one.
Some areas of NeatPractice are add-ons on top of your plan, so your clinic sees only what it uses. Your clinic sees an add-on's menus, pages, settings and buttons only while it holds the add-on.
Paid add-ons#
| Add-on | What it adds | Without it |
|---|---|---|
| Payroll | Pay rules, timesheets, pay items, pay periods and payroll exports | Visits still sign and bill; nothing is sent to payroll |
| Fax | Sending and receiving faxes, the fax inbox and a fax number | Documents go out by print, secure email or download |
| Text messages | Text reminders and confirmations, two-way replies and a texting number | Reminders and notices go to patients by email only |
| Electronic claims | Claim submission to the clearinghouse, acknowledgments, claim status, ERA posting | Claims print or download as CMS-1500; payments post by hand |
| Eligibility checks | Electronic eligibility checks, on demand and in the nightly run | Coverage details are kept up to date by hand |
No-charge add-ons#
These add-ons cost nothing. Add the ones your clinic uses and remove the rest to keep menus short.

Co-signing, supervision logs and supervision of assistants and students are part of every plan, so clinics that need them for compliance always have them. Home programs and the home activity library, and the referral queue, are part of every plan too; only what families log through the portal needs Family Portal, and only the online referral form needs Online Intake. Clinics with the ABA module keep their own QA queue and QA rules for ABA notes without Quality Program.
While EVV is off, nothing EVV runs or is required: no EVV board, exceptions, charge holds, submissions or automatic close. Visit clock in and out still record. Turn EVV on before you serve a payer that requires it. Without Telehealth, new bookings cannot be telehealth and appointment types offer no telehealth default; bookings made before keep it. Without Home and Community Visits, finalized visits add no travel charges. Without Collections, statement runs leave the collection stage where it is and print no collection notice. Notifications from an add-on you remove leave your notification history until you add it again.
If a price is set for a no-charge add-on later, clinics that already hold it keep it at no charge; the price applies only to clinics that add it afterwards.
Prices and allowances#
Each add-on is a monthly price that depends on your plan, with its own monthly allowance. Free cannot add add-ons, and Enterprise lists at the Advanced price.
| Add-on | Basic | Standard | Advanced |
|---|---|---|---|
| Payroll | $29 | $49 | $99 |
| Fax | $15 with 100 pages | $25 with 250 pages | $49 with 500 pages |
| Text messages | $19 with 600 segments | $35 with 1,500 segments | $79 with 4,000 segments |
| Electronic claims | $39 with 100 claims | $69 with 200 claims | $129 with 400 claims |
| Eligibility checks | $15 with 75 checks | $25 with 200 checks | $49 with 400 checks |
Fax includes one inbound fax number; each additional number is $5 a month (additional fax numbers). Payroll also adds $3 a month for each Full seat above your plan's included seats and each PRN seat. The seat charge is billed after each month ends, as its own line on your next invoice, for the most seats your clinic held that month; Payroll seats on the usage panel shows the count so far. Use past an allowance bills as overage; see plan usage and packs.
Prices you see when you add a module or add-on are the prices you keep while you hold it on the same plan, and so is the allowance that comes with an add-on (pages, segments, claims or checks). If NeatPractice changes a price or an allowance later, the change applies to clinics that add it after the change. When you change your plan, every module and add-on you hold moves to the new plan's prices and allowances, starting with your next invoice.
Add, remove or try an add-on#
Open Setup > Clinic > Subscription. The Modules section lists each add-on with its state and price. For a paid add-on, add, remove and free trials work the same as for discipline modules: see modules.
A no-charge add-on turns on as soon as you click Add and off as soon as you click Remove; there is no trial and nothing to wait for. Owners and Clinic Admins can add and remove no-charge add-ons; a Clinic Admin sees only those on the Subscription page. Only owners change paid add-ons and the plan. Every change is recorded in the security audit log.
A clinic without an add-on sees nothing of it: its menu entries, pages, buttons and panels do not appear, and opening one of its pages by its address shows Page not found.
Allowances that come with an add-on#
The text message, fax page, electronic claim and eligibility check allowances, packs and overage apply only while your clinic holds the matching add-on. See plan usage and packs.
Removing an add-on#
Removing an add-on never deletes anything, but everything in it disappears from the app, as if the clinic never had it: pay items, timesheets, pay periods and payroll files, faxes, remittances and payer suspense, claim rejections and clearinghouse messages, and eligibility results. Claims, payments and reminders themselves are part of the plan and stay.
A no-charge add-on disappears the same way: its menus, pages, Setup screens, chart sections, dashboard widgets and alerts, and the assistant stops reading it. Its links that families already have (portal invitations, intake forms and packets, surveys) and an open check-in kiosk stop working until the add-on is added again.
The records are kept. Adding the add-on again brings every one of them back, and the full clinic data export always includes them.
