Getting started

Tasks

Assign work to a teammate, a role queue or the shared queue, link it to a patient, visit, claim, charge, authorization or document, and track it to done with comments and templates.

Tasks keep track of work that is not a note or a claim: calling a family back, collecting an insurance card, following up with a payer. Open Tasks in the main menu.

The task lists#

The Tasks menu has three lists:

  • My tasks: tasks assigned to you, to a role you hold (its queue) and to the clinic's shared queue.
  • All tasks: every task you may see. Owners and administrators see every task in the clinic.
  • Created by me: tasks you made for yourself or others.

Lists show open and in-progress tasks, due first. Use the Status filter to see done or canceled ones, and the Priority filter to find urgent work. A due date shows in red once the task is overdue. Save a filter as a view from Views; see saved views.

Tasks about a patient show only to people who can open that chart.

Creating a task#

Click New Task and fill in:

  • Title and Details: what needs doing.
  • Assigned to: a person, a role's queue (anyone with that role can pick it up) or the Shared queue.
  • Due and Priority.

To create a task about a patient, click New Task in the chart's header, or pick one patient in the side panel first. On the patient and charge lists, select rows and click New Task in the selection bar to create one task for each selected record.

When a task is assigned to someone else, they get a notification. On the day it falls due, or once it is overdue, the assignee gets one reminder. Notifications never include the task's title, since it may name a patient.

Working a task#

Click a task's title to open it. Change its status to In progress, Done or Canceled, reassign it or edit it, then click Save Changes. If someone else saved the task first, reload it and try again. Add comments at the bottom; comments cannot be edited once added.

Only the person who created a task, and administrators, can delete it.

Templates#

A task template is a checklist your clinic sets up once, such as everything a new patient needs before the first visit. Click Apply Template, pick the template and a Start date, and each of its tasks is created, due its number of days after the start date. Tasks the template puts on a role queue stay there; the rest go to the person you pick, or to the shared queue. Applying a template to selected patients creates the tasks for each one.

Administrators manage templates in Setup > Task Templates.

On the dashboard#

Add a Table widget showing My tasks to your dashboard to keep your open tasks on your home page.
