Setup
Intake setup
Configure the intake checklist and the intake board in Setup > Patients > Intake, with your own checklist items, your own board columns and the order of each per discipline.
Open Setup > Patients > Intake to decide what the intake checklist checks and how the intake board reads. Everything here applies to every discipline unless you limit it to some.
Built-in checklist sources#
The built-in items read the chart. In Built-in checklist sources:
- Diagnostic evaluation category and Referral category name the document categories that complete the diagnosis and referral items. Choose Not tracked to skip the document check.
- Required consents lists the consents the consents item requires. By default these are consent to treatment, the notice of privacy practices and release of information.
Click Save Changes in the bar at the bottom of the page.
Checklist items#
Add items of your own beside the built-in ones. Click New Item, name it and choose Completed by:
| Completed by | The item is complete once |
|---|---|
| Checked off by staff | Someone checks it off on the chart's intake checklist or from a card on the board. Who and when are kept. |
| Document filed | A document in the chosen category is on the chart. |
| Consent signed | A consent of the chosen type is in effect. |
| Patient form completed | A signed copy of the chosen patient form is on the chart. |
Leave Disciplines empty to add the item to every discipline, or pick the ones it applies to. A Description shows with the item on the checklist, for example what to collect.
An item a board column waits on cannot be deleted; change or delete the column first. Deleting an item keeps the checks staff already recorded in the history.
Board columns#
The built-in steps follow each episode's records. Add columns of your own for steps no record shows. Click New Column and choose:
- Moves here when: the checklist item that moves a patient into the column, built-in or your own. For a step only staff know about, add a Checked off by staff item first, such as Intake call with the family.
- Placed: the step the column follows on each discipline's board, or Last.
- Disciplines: leave empty for every discipline.
- Color: shown beside the column's name on the board.
A patient sits in the furthest column it reaches: once its records reach a later built-in step, the card moves on. Nobody drags cards on the board.
By discipline#
Each discipline has its own checklist and board order. Choose Arrange on a discipline to:
- Drag checklist items into order and turn items off with On the checklist. An item turned off leaves the checklist and its counts.
- Drag board columns into order, give a built-in step its own Board name, and hide a step with On the board. A hidden step's patients show in the column before it. At least one built-in step stays on the board.
Click Save Layout. New items and columns you add later show up at the end of the checklist, or after the step you placed them, until you arrange them.
