Clearinghouse

Choose the clearinghouse your clinic sends claims through, and how unanswered claims are followed up.

Electronic claims, eligibility checks, claim status checks and acknowledgments all travel through one clearinghouse. Each clinic chooses its own in Setup, then Clearinghouse. You need the practice management permission to change it.

Choose a clearinghouse#

NeatPractice works with three clearinghouses:

ClearinghouseHow answers arrive
Our clearinghouse partnerClaims, eligibility and claim status answer in seconds; acknowledgments arrive as soon as the payer sends them.
AvailityClaims go to your Availity mailbox; acknowledgments and remittances are collected from it every 30 minutes. Eligibility, claim status and prior authorization requests answer within seconds.
OptumClaims, eligibility and claim status answer in seconds; acknowledgments and remittances are collected from your Optum mailbox every 30 minutes.
  1. Pick the clearinghouse in Clearinghouse.
  2. Check the Credentials badge. Missing means the account details for that clearinghouse are not stored yet; until they are, claims and checks cannot be sent. The help next to Credentials names exactly what your platform administrator needs to store. You never type passwords or keys into this page.
  3. Leave Send live claims on once the clearinghouse has finished testing your account. While it is off, claims go out marked as test files.
  4. Choose Save Changes.

Sends go to shows where the saved settings send claims and checks: Live clearinghouse, Clearinghouse test system (with Send live claims off) or Not connected (credentials missing, so sending is refused).

Ids the clearinghouse assigned#

Some clearinghouses give each clinic its own submitter id, and some a receiver id. Turn on Uses ids the clearinghouse assigned and enter them exactly as the clearinghouse wrote them. Leave them empty to send your practice tax id as the submitter and the clearinghouse's usual receiver.

Check the mailbox now#

With Availity or Optum, the rejections and unmatched messages page has Check Mailbox to collect waiting acknowledgments right away instead of at the next half hour.

Claim status follow-up#

Payers do not always answer. With Check unanswered claims automatically on, every night NeatPractice asks the payer about each electronic claim that has had no answer for the number of days in Check after (days) (7 to 120, 21 by default). A claim the payer accepted, pended or rejected moves to that status; the rest stay put, and you can find them on the claims list with the status age filter.
