Billing

Manual charges and statements

Charge a patient for a fee or a supply outside a visit, and print the patient's statement of what they owe.

Most charges come from visits. A manual charge is one you add yourself for something the patient pays for directly: a therapy supply, a records copy fee, a returned check fee. Missed-visit fees and travel charges are manual charges too; NeatPractice adds those for you.

A manual charge is never sent to insurance. It goes on the patient's balance, takes patient payments like any other charge and prints on the patient's statement. Travel billed to a school or agency goes on that agency's invoice instead.

Add a manual charge#

  1. Open the patient's chart and choose Billing.
  2. In Charges, click New Charge.
  3. Pick a Catalog item to fill the code, description and price, or type them yourself.
  4. Check the Date, Quantity and Price each.
  5. Choose the Provider who sold or ordered it.
  6. Click Add Charge.

The charge is ready at once and shows in the patient's charges with its description. You need permission to add manual charges; the Biller and Billing Manager roles have it.

Your clinic's fees and supplies live in the charge catalog.

Take a charge back#

A manual charge cannot be edited. To fix one, void it from the charge review and add it again; any payment on it becomes the patient's credit. A missed-visit fee goes back by waiving the fee, and travel by voiding the travel charge.

In the patient's Billing, click New Statement in Charges. A patient statement lists every charge the patient still owes, visits and manual charges alike, with what insurance paid, what the patient paid and the amount due. Click Account beside it to open the patient's account. See Statements.
