Reports
Exports and scheduled deliveries
Download reports as CSV, Excel or PDF, find background exports in My exports, and have a report delivered on a schedule.
Export a report#
If your role can export reports, every report can be exported:
- CSV and Excel (XLSX) carry every column and a totals row, ready for a spreadsheet.
- PDF prints the rows under your clinic's logo and name, with the report's parameters at the top. Print downloads the same PDF. See practice logo.
File names carry the report, your clinic and the date range, never a patient's name.
Background exports#
NeatPractice builds an export in the background when it has more than 10,000 rows or would make a PDF longer than about 50 pages. You can also ask for a background export yourself. You get a notification when the file is ready. An export can hold up to 200,000 rows; a larger one is not built, so a file never shows partial totals, and the notification asks you to narrow the dates or filters.
Open My exports in the Reports panel of the main menu to download it. Only you can download your exports. An export that lists patients can be downloaded for 24 hours; any other export, such as a totals-only report, for 7 days. A complete patient record can also be downloaded for 7 days. The Expires column shows when. After that the file is removed and the export shows Expired; run the export again if you still need it.
You can also follow an export from the Jobs button in the header, which downloads a finished file and cancels one still waiting in the queue; see Jobs.
A chart export protected with a password shows Password protected under its file name; the ZIP opens only with the password chosen when it was requested.
With the ABA module, a learner's service record and payer audit packets land here too.
A download also checks your access again. If you can no longer run that report, or no longer see every patient in the file (for example, your locations or caseload changed), the download is refused; run the export again to get a file that matches your current access.
Scheduled deliveries#
If your role can schedule report deliveries, you can deliver a saved parameter set on a schedule:
- Run the report with the parameters you want, then click Save parameters.
- Turn on Scheduled delivery and choose Daily, Weekly (pick the day) or Monthly (pick the day of the month; short months use their last day).
- Pick the hour, in your clinic's time zone, and the recipients.
At that time each recipient gets a notification and an email saying the report is ready, with a link to it in NeatPractice. The email never contains report data: the recipient signs in, and the report runs with their own access, so they see only the patients and locations their role allows. Recipients who can no longer open the report are skipped. Recipients can use a scheduled set even when it is not shared with the clinic, but only its owner can change or delete it.
