Overlap allowances
List the pairs of services a patient may receive at the same time, such as supervision during direct treatment, so they book without a double-booking warning.
Some services are meant to happen at the same time: a supervisor observes a technician's session, or a caregiver receives guidance while the patient is in treatment. Overlap allowances tell NeatPractice which pairs of services may overlap for one patient, in any discipline whose codes carry a service category. Any other overlap still shows a double-booking warning when you book.
Open Setup > Overlap allowances. Anyone with access to Setup can see the list; adding or deleting an allowance needs permission to manage schedule settings.
Adding an allowance#
- Click Add Allowance.
- Leave Payer empty to allow the overlap for every payer, or pick the one payer that allows it.
- Choose the Service and the service it Can overlap with. The categories come from each code's service category, such as direct treatment, supervision or caregiver guidance.
- Click Add Allowance.
The order of the two services does not matter: supervision with direct treatment also allows direct treatment with supervision.
NeatPractice compares the codes each appointment books. An appointment without its own codes uses its type's default codes, only those of the disciplines on that appointment, so a type that lists defaults for several disciplines is judged by the codes its visit will bill.
Deleting an allowance#
Open the row's menu and click Delete. The confirmation shows the payer and both services; confirm to delete. Overlapping appointments with those services show the double-booking warning again.
