Adjustments

Write off or move part of a charge's balance, with approval for large adjustments.

An adjustment changes a charge's balance without money changing hands: a small-balance write-off, a courtesy discount or a correction. A move hands part of a balance from one payer to the next, or to the patient.

Payment history#

Open a charge's Payment History from the charge in Charge review, from a payment's lines, or from the Approvals and Denials pages. It shows what the primary, secondary and tertiary payers and the patient owe, what was paid and written off, and every entry posted to the charge with its reason. A long reason opens in full when you hover over it or move to it with the keyboard.

Adjust a balance#

  1. Choose Adjust Balance.
  2. Choose whose Balance changes, the Adjustment type (set up in Adjustment types), the Amount and the Reason. Enter the amount as a positive number in dollars and cents; each type says whether it reduces the balance (a credit) or adds to it (a debit), and the form shows the balance before and after.
  3. Choose Save Adjustment. The confirmation says whether the balance changed now or waits for an approver.

You need permission to manage adjustments.

Move a balance#

Choose Move Balance, then From and To (a payer or the patient), the amount and the reason. Use it, for example, when a payer leaves a balance the patient owes.

Approvals#

An adjustment type can require approval above a set amount. Such an adjustment shows as Pending approval and changes nothing until it is approved. Someone with permission to approve opens Approvals under Payments in the Billing panel and chooses Approve or Reject with an optional note. The decision dialog shows the full request first: the type, amount, date of service, who it is paying as, who asked and the complete reason. Voiding the charge rejects any adjustment still waiting for approval on it, with the note "The charge was voided."

Reverse an adjustment#

In the payment history, choose Reverse Adjustment on the row and give a reason. An offsetting entry restores the balance; a pending adjustment is simply withdrawn. The original row then shows Reversed, and the offsetting entry appears as its own row. Reversing needs its own permission.
