Ledger checks
How NeatPractice proves every balance adds up each night, and what to do if a check finds something.
Every financial event in NeatPractice (a charge, a payment, an adjustment, a transfer, a refund) is recorded in a ledger as entries that balance to zero. Nothing in the ledger is ever changed: a correction is a new entry that reverses the old one.
Each night NeatPractice checks the whole ledger:
- every event's entries must add up to zero;
- every charge must have posted exactly its amount (nothing once voided) to whoever owed it first.
See the checks#
Open Accounts and choose Ledger checks. Each row shows when the check ran, whether it ran nightly or was run by staff, how many events and charges it checked, and its result. Balanced means everything added up.
Click Check Now to run a check at once, for example before closing a month.
If a check finds something#
A result of Needs review lists what it found under Findings of the latest check: the problem, what was expected and what was posted. Click Open charge to review the charge. Findings name records only, never patient details.
Permissions#
Ledger checks need permission to export the ledger; the Billing Manager role has it.
