Getting started
Oversight
One list of everything overdue or coming due across the clinic, with a weekly chart, filters by location, provider, patient and category, and a CSV export.
Oversight gathers the work that needs attention across the whole clinic in one list, so a clinical supervisor, owner or office manager can see what is slipping without opening each provider's dashboard. Open it from Oversight in the main menu.
Who can see it#
You need permission to view operational reports. What you see follows the same rules as the lists each item comes from:
- A category only appears if your role can open its source. Someone without billing access, for example, never sees the billing categories.
- Providers with a caseload see only their own patients. Supervisors and administrators see every patient at the locations they can reach.
- Discipline modules add their own categories while your clinic has them.
What it lists#
Each row is one item, marked Overdue once its date has passed or Coming due while it is still ahead.
| Category | What it means |
|---|---|
| Overdue documentation | A note, co-signature or other step past its documentation deadline |
| Notes to write | An attended visit that has no note yet |
| Progress reports due | A progress report due now or within a week |
| Recertifications due | A plan of care to recertify within two weeks |
| Plans awaiting certification | A signed plan of care the physician has not certified yet |
| Re-evaluations due | A re-evaluation due within 8 days |
| Authorizations expiring | An approved authorization ending within 30 days that is not being renewed |
| Reauthorization reports due | A report the payer wants before an authorization ends, due within two weeks |
| Charges on hold | A charge held back from billing, with its code and the reason |
| Claims rejected | A claim the clearinghouse or the payer rejected |
| Mastery decisions | A mastery suggestion waiting for a decision (ABA) |
Overdue items come first, then the oldest. An item due for several providers on a patient's care team lists once for each of them. Click the patient to open their chart, or the arrow at the end of the row to go straight to the place where you fix the item.
Filtering#
- Location: the list follows the location you picked at the top of the menu.
- Patients and providers: pick them in the side panel. Clear the panel to see everyone again.
- Status and category: use the filters above the table, for example only Overdue items, or only Charges on hold and Claims rejected.
- Sort by status, category, due date, patient or provider by clicking a column heading.
The chart#
Over time above the list counts the items by the week they fell or fall due, from twelve weeks back to the last item coming due. The first bar also counts anything older. Switch between Category and Provider to stack the bars the way you want. The chart always follows the same filters as the list. Click Enlarge to see it over the whole screen, or Export to save it as a PDF or PNG image with each group's total. Click Hide Chart to give the list the whole page; NeatPractice remembers your choice.
Exporting#
Click Export CSV to download the filtered list in the same order as the page. The file has one row per item with its category, status, due date, patient, chart number, provider and detail. You need permission to export report data, and every export is recorded in the patient access log.
ABA sessions#
When your clinic has the ABA module, Oversight also has an ABA sessions page: every ABA session with the time each step from booking to payment happened. See ABA sessions oversight.
