Terms of Service
Draft, not yet in effect
Draft for legal review. This page is a placeholder and is not yet a binding agreement. It will be replaced by text approved by counsel before launch.
These terms explain the agreement between your clinic and us when you use NeatPractice.
The service
NeatPractice provides practice management, documentation, billing and related tools for therapy clinics. These terms apply to the clinic that subscribes and to every user it invites.
Accounts and security
- Each user has their own account and must use multi-factor authentication.
- Clinics are responsible for who they invite and for the roles and access they grant.
- Tell us right away if you suspect unauthorized access.
Clinic data and HIPAA
Your clinic owns its data. We process protected health information only to provide the service, as described in the Business Associate Agreement between your clinic and us, which controls if it conflicts with these terms.
Clinical and billing responsibility
NeatPractice supports clinical documentation and billing but does not replace professional judgment. Clinics remain responsible for the accuracy of their records, codes and claims.
Subscriptions and payment
Plans are billed monthly per clinic, with seats as described on the pricing page. Seat additions apply immediately and reductions at the end of the billing period.
Acceptable use
Do not misuse the service, attempt to access other clinics' data, or use it in violation of law or professional rules.
Ending the service
You can cancel at any time. After cancellation your clinic receives a full export of its records and data before anything is permanently removed.
