HIPAA applies to everything we store, so its safeguards are part of the product, not a setting you have to find.

How we protect your data

  • Multi-factor authentication, always

    Every user in every clinic signs in with a second factor. Clinics cannot turn it off.

  • Automatic sign-out

    Idle sessions end after 15 minutes by default, adjustable from 5 to 60, with a warning a minute before.

  • Every chart view logged

    Each view, print, export, fax and download of patient data is recorded, so you can see who opened a chart and when.

  • Append-only audit trail

    Changes are written to audit tables the application itself cannot update or delete.

  • Signed records stay signed

    Clinical notes lock on signature and change only through dated addenda. Financial records are reversed, never edited.

  • Least access by default

    Roles, caseloads and location access decide who sees which patients, enforced on the server for every request.

Who is NeatPractice for?

Outpatient and pediatric speech-language pathology and occupational therapy clinics, from a single location to several. Disciplines are configuration (templates, goals, codes), so more therapy types can follow.

How do you handle HIPAA?

Patient data lives only in your clinic database and file storage. Every account uses multi-factor authentication, chart access is logged, signed records cannot be edited, and our error tracking and analytics are built to never receive patient information. See the Security page for details.

Which clearinghouse do you use?

Claims, acknowledgments and claim status checks run through an integrated clearinghouse, so there is no separate portal to log into. The integration sits behind a common interface, so more clearinghouses can be added.

Do patients need an account?

No. Reminders and documents open from secure links that expire, with an identity check before anything sensitive is shown.

Can we move our data from our current system?

Self-service import is not available yet. Tell us what you use today and we will plan the move with you during onboarding.

How does pricing work?

Each plan includes a number of full seats. You can add more full seats, and as-needed PRN clinicians use a separate seat type that never counts against the plan minimum.
